The University of Rochester Research Repository (URRR) is the University of Rochester’s institutional and data repository, which uses Figshare. Most content has been or will be migrated from the old repository, UR Research, to URRR.

URRR Terms of use

Data and work deposited into URRR are open for users to access and download at no cost unless specific embargo or other restrictions have been placed on the material as stipulated in the data deposit agreement.

All work deposited into URRR will be assigned a document object identifier (DOI).

All University of Rochester faculty, staff, and students are allotted 10GB of storage within URRR. Additional storage may be purchased if needed.

When downloading or using material within URRR, users agree they:

  • Will not make any use of data or resources to identify or otherwise infringe the privacy or confidentiality rights of individuals discovered inadvertently or intentionally in the data.
  • Will not use the data or resources for any illegal or unethical purposes.
  • Will give appropriate attribution to the Publisher(s) and/or Depositor(s) of the material in any publication that employs material provided through URRR. Data and resources are offered with no warranty or claim of fitness for any purpose. In no event shall the URRR Administrators, the University Libraries, or the University of Rochester be liable for any impacts arising from use of the University of Rochester Research Repository, or download and/or use of data provided through URRR.

If URRR Users encounter such data or data that could be used or disclosed for illegal or unethical purposes, they should notify the University of Rochester Research Repository Administrators.

The quality of datasets and documentation provided through URRR depends heavily on information provided by the Depositor(s) and/or creator(s) of the data or resources. In most cases the URRR Administrators will not be able to provide technical support in use of data provided through URRR and users will need to contact the Depositor and/or creator of the data and/or resources for this support.

URRR may modify these Terms of Use from time to time without notice. Any modifications to the Terms of Use shall become effective immediately upon posting.  By making use of  URRR after such modification, users agree to the modified Terms of Use then in effect.

Privacy policy

Privacy Notice

This Notice applies to the websites at rochester.figshare.com and related services (“the UR repository”). The UR repository is operated by the University of Rochester, with registered address at 500 Joseph C. Wilson Blvd., Rochester, NY 14627 (“University of Rochester”, “UR”, or “we”). This Notice explains what personal data we collect, how we may use and manage it and the rights you may have in relation to such personal data. When we refer to “personal data” in this Notice, we mean information relating to an identified or identifiable individual that we collect and use in connection with the UR repository; not aggregate or other anonymized data, or information we process on behalf of our stakeholders.

How do we collect and use personal data?

We collect personal data in the following ways:

  • Information you provide to us online. For example, when you register to use the UR repository, complete one of our web forms or make a support request, we collect the personal data you provide, like your name, ORCID, email address and other basic contact details / professional information. We will use this information to enable you to access and use the UR repository or fulfil the request you’ve made. You may also provide (or configure your account, including by syncing with third party apps, so the UR repository retrieves updates automatically) additional information about you to access and use particular features within the UR repository, such as to populate a public profile page or make content you’ve submitted public. More occasional examples could include where you respond to a survey or enter into a competition.

 

  • Information we collect from your use of the UR repository. When you use the UR repository, we may collect information about that usage and other technical information, such as your IP address, browser type and any referring website addresses. We may combine this automatically collected log information with other information we collect about you and use it to keep a record of our interaction and to enable us to support, personalize and improve the UR repository. We may also collect this type of information using cookies and other similar technologies.

 

  • Information we collect from our other interactions / consultations. For example, if you attend a webinar, contact us via email, request a training, or otherwise interact with UR, we may track and make a record of those interactions, which may contain personal data.

 

  • Information we collect from third parties or publicly available sources. If you are a UR repository user, we may collect personal data about you from research-related data sources, such as ORCID.

In all the above cases, where we have a relationship with you, we may also use the personal data collected to manage and keep a record of that relationship and other UR administration purposes you would reasonably expect and, subject always to your preferences, to provide information we think may be of interest to you.

In many of the above cases, we may also use the information collected to create or aggregate other non-personal data to enable us to benchmark and improve the UR repository and for other analytical / research purposes.

If you provide personal data to us about someone else (such as one of your colleagues), please ensure that you have their permission to do so and that they’re aware of the contents of this Notice.

Who We Share Your Personal Data With

We may share your personal data within the University of Rochester on a confidential basis for our internal administrative purposes. We do not generally disclose or share personal data with third parties, except where it’s necessary for legitimate business reasons, such as:

  • To the agents, advisers and service providers that assist us in administering the Figshare platform.
  • To the subcontractors and service providers we use to provide and support the UR repository.
  • If required to enable the integration or use of third-party resources or those used from URRR.
  • In such circumstances for which you have given your consent.
  • If required by law or ordered by a court.
  • To third party apps you have chosen to sync with your account.
  • In the case of your UR repository profile or details associated with content you’ve made public, to public users of the UR repository.
  • If you register for a webinar or other event, to other attendees and co-organizers of that event.
  • To third parties that host content on a persistent basis that you’ve chosen to publish, such as Chronopolis, and other third parties involved in the scholarly content infrastructure, such as CrossRef, ORCID and Datacite.

We include appropriate confidentiality and security obligations in our contracts with our service providers and only permit them to process your personal data for specified purposes and in accordance with our instructions (not for their own purposes).

Security

We take appropriate technical and organizational security measures to protect personal data from accidental or unlawful destruction, accidental loss and unauthorized access, destruction, misuse, modification, or disclosure including generally accepted standards designed to protect personal data provided to us, both during transmission and once it is received.

Retention of Personal Data

We only keep your personal data for as long as it is necessary for the purposes for which it was collected, after which it will be destroyed, erased, or anonymized. If you are aa URRR user and have made content public, we will retain a record of your association with that content potentially indefinitely.

Changes to this Notice

We reserve the right to modify or replace this Notice at any time by posting the revised Notice on our website. You are responsible for reviewing and becoming familiar with any such change each time you access any part of the UR repository.

Data retention policy

Data published in University of Rochester Research Repository is kept for a minimum of five years.

After five years, the data sets enter a retention review process. As a part of this process, we will attempt to contact the Principal Investigator (PI) or depositor if they are still affiliated with the University of Rochester.

Scope

Eligible Contributors

Contributors must be affiliated with the University of Rochester and have valid Active Directory credentials to deposit work in the repository. Contributors may include:

  • University of Rochester faculty, graduate students, researchers, and staff.
  • University of Rochester undergraduate students depositing:
    • Work that has been accepted elsewhere through a peer review process (such as a conference poster or paper).
    • Honors theses.
    • Capstone projects.
    • Research or creative projects guided by a UR faculty member.
  • Alumni submitting scholarly work completed at the University of Rochester.

Scope of Deposited Content

  • Scholarly, creative, research-related or teaching resources.
  • Completed work, rather than in-progress and regularly updated.
  • Content created prior to joining the University of Rochester.
  • Contributors must be willing and able to grant the University non-exclusive rights to both preserve and make their work available through URRR.
  • Must be in a digital format.
  • If the content deposited is part of a series, other works in that series should also be deposited, when possible, to offer a full and complete collection.

Note: Graduate dissertations and theses follow a different process. If you are not sure if the content intended for deposit fulfills these requirements, please contact UR Libraries.

Withdrawal

Content may be removed in case of violation of deposit agreement or other exceptional circumstances, in which case only the record will remain with the following message: “Item withdrawn by authority of the University of Rochester.” 

Data deposits will remain in the repository for at least five years, upon which researchers will be contacted to determine if the data will stay or be removed.

Supported Content Types

Contributors are welcome to deposit content that can be characterized as scholarly, creative, research-related, or teaching resources.

The following accepted content types include:

  • Publications (including preprints).
  • Working papers and technical reports.
  • White papers.
  • Datasets.

 Requirements for deposit approval:

    • Complete, ready for use, and include a readme file;
    • De-identified prior to uploading to URRR;
    • Consent is required for any data collected from human participants.
  • Coding (computer programming).
  • Conference presentations.
  • Conference posters.
  • Campus-based publications.
  • Course-based publications.
  • Images.
  • Audio and video recordings.

Access to Deposited Content

All deposited content will be made available to the public, except when forbidden by contracts, rights, or when embargoed for a limited time.

File formats

The URRR team will work to recognize and support as many file formats as possible. For preservation and access purposes, non-proprietary formats are recommended. All formats can be deposited, but please consider depositing items in formats that are open, sustainable, and well-used in their fields.

Copyright

Depositing content

The contributor must either hold the copyright, or the right to deposit, for all contributed content. If the deposited content is unpublished, the UR Libraries recommend using a Creative Commons license, either CC-BY or CC-BY-NC. For data, the following is recommended: ODC-BY, ODC-ODbL, or CC0 (CC Zero).

By depositing their work, the contributor agrees to give the University only the non-exclusive rights to disseminate and preserve the content. Preservation may require reproducing the content in different formats to ensure future accessibility.
